Minimum Requirements:
- Education/Training: High School Graduate
- Typing desired
- The Applicant must pass a county background check with no record of criminal convictions.
- The Applicant must complete and pass a pre-employment drug test.
- Complete and pass random drug testing.
Knowledge, Skills, and Abilities
- Communication: Proficient at giving clear instructions. Courteous and professional.
- Accounting: Accounts receivable, payable, deposit bank reconciliation.
- Confidentiality: Able to be confidential about court proceedings and cases
Principal Duties and Responsibilities:
- Maintain original records for all criminal, traffic, non-traffic, civil and miscellaneous records in the Magisterial District Court.
- Establish and maintain case files in accordance with AOPC procedure.
- Maintain original records in the Magisterial District Court.
- Certify and attest to original documents.
- Track time payments and adjust according to the direction of the court, a process that must be monitored closely as it can result in a more serious outcome, such as jail or loss of operating license if inaccurate.
- Accept payments for fines, costs, restitution, and bail and process those payments through the AOPC computer system. Issue refunds.
- Conduct searches to locate copy, and compile requested records such as traffic citations, criminal complaints, etc.
- Assist the public in obtaining records and making copies, always maintaining a professional attitude.
- Prepare the daily deposit, comparing deposits with the AOPC generated reports, and reconciling all deposits with bank statements, resolving any discrepancies.
- Process all daily mail. The District Court receives a large quantity of fine payments daily which must be entered on the AOPC system accurately to credit appropriate accounts.
- Enter all required information on AOPC / MDJS to create juvenile cases with assigned numbers to process juveniles to be transferred to Juvenile probation.

- Prepare weekly and monthly reports to the State and reports to the municipalities, ensuring their accuracy and resolving any discrepancies.
- Assist all callers (County offices) State and local police, attorneys, defendants, and others with information pertaining to the Magisterial District Court.
- Maintain all necessary forms and office supplies. Prepare orders and check requests to be submitted to the County for all supplies.
- In the absence of the office manager, the assisting staff member becomes responsible for the above duties in their entirety.
- Other duties as assigned.
Office Manager Responsibilities
- Ensure that all processes comply with the AOPC and Pennsylvania Rules of Criminal Procedure.
- Balances the physical space available for records in accordance with the AOPC archival schedule.
- Ensures the Office and staff presents a professional. atmosphere to the Public.
- Reviews records open to public request to ensure required redacting of appropriate information.
- Resolving undecipherable penmanship on documents and overall accountability is the responsibility of the Office Manager and Assistant Office Manager.
- The Office manager and Assistant Office Manager are responsible for providing all requested information required for the State Audit.
Special Requirements:
- Within 6 months of hire, attend 3-day training on MDJ System
Physical Requirements:
- Must be able to perform the duties and responsibilities of the normal office environment.
- Must be able to lift 50lbs.
- Must be able to sit for long periods of time with occasional pushing, pulling, standing, walking, twisting, and reaching as necessary to carry out essential job functions.
